Privacy Policy
Your privacy matters. This policy explains what we collect, how we use it, and your rights under Indian and applicable international law.
1. Information We Collect
Personal Information
Name, email address, phone number, and business details that you share with us via contact forms, email, or invoices.
Project Data
Technical specifications, CAD files, firmware, software repositories, and related assets you provide so we can deliver engineering work. All project data is treated as confidential — see Section 4.
Usage Data
Non-identifying information such as browser type, pages visited, and approximate location may be collected to monitor website performance and security.
2. How We Use Your Data
We use your information strictly for:
- Preparing proposals, quotations, and project scopes.
- Executing engineering work and delivering artefacts.
- Billing, invoicing, and compliance with tax regulations.
- Communicating project updates and support.
We do not sell your personal data to third parties.
3. Data Sharing & Third Parties
We only share data with third parties where strictly necessary to operate our business:
- Cloud hosting and infrastructure providers.
- Communication and email service providers.
- Payment processors and accounting tools.
- Analytics and monitoring services.
- Regulators or authorities, where required by law.
All third-party providers are selected on the basis that they maintain appropriate data protection standards consistent with this policy.
4. Confidentiality of Project Data
All project data — including but not limited to CAD files, circuit schematics, firmware source code, design briefs, and proprietary hardware specifications — is treated as confidential. We do not disclose, share, or use this data beyond what is strictly necessary to deliver the agreed project scope.
Our team members and any sub-contractors involved in delivery are bound by confidentiality obligations. If a project requires a formal Non-Disclosure Agreement (NDA), we are willing to execute one upon request prior to commencement of work.
5. Data Retention
We retain personal information and project data for a period of 3 years following project completion or the last interaction with you, whichever is later. After this period, data is securely deleted or anonymised unless:
- A longer retention period is required by applicable law (e.g., tax records under Indian law).
- The data is subject to an ongoing legal dispute or regulatory inquiry.
- You have given explicit written consent to retain it for a longer period.
Invoice and contract records are retained for a minimum of 7 years in compliance with Indian tax and accounting regulations.
6. Data Security
We use industry-standard measures including encrypted transport (TLS), access controls, and segregated environments to protect your data. No method of storage or transmission is completely secure, but we continuously review and improve our practices to reduce risk.
In the event of a data breach that is likely to affect your rights and freedoms, we will notify you and the relevant authority as required under the DPDP Act 2023.
7. Cookies
Our website may use cookies or similar technologies to improve your browsing experience and understand how the site is used. We use only necessary and analytics cookies. You can adjust cookie preferences in your browser settings; some features may behave differently if cookies are disabled.
We do not use advertising or tracking cookies. If our analytics provider processes data from users in the European Union, such processing is conducted under appropriate standard contractual clauses.
8. Your Rights
Under the Digital Personal Data Protection Act, 2023 (India) and other applicable privacy laws, you have the right to:
- Access — request a copy of personal data we hold about you.
- Correction — request correction of inaccurate or incomplete personal data.
- Erasure — request deletion of your personal data, subject to legal retention obligations.
- Grievance redressal — raise a complaint with us as the Data Fiduciary, and escalate to the Data Protection Board of India if unresolved.
To exercise any of these rights, contact us at contact@rovixdynamics.com. We will respond within 30 days. Note that certain records (invoices, contracts) are subject to mandatory retention under Indian law and cannot be deleted on request.
